Official documentation & transcripts

There are several types of documentation available to UOW students and alumni either as official academic documentation such as an academic transcript, or as a student letter.

UOW is one of 47 universities across Australia and New Zealand implementing a significant sector-wide change with many other universities (Australia and New Zealand).  UOW students graduating from an onshore campus within Australia are automatically issued with digital academic documentation - free of charge.  If graduating onshore this session, please ensure you do not order or pay for your 'official' documentation.

Students graduating will:

  • receive their official academic documentation digitally
  • receive their testamur in hardcopy; and
  • be able to purchase a transcript, AHEGS and UOWx documentation in hardcopy on request (for a fee) after conferral.

Digital academic documents are available to UOW students through My eQuals.

Academic transcript

An academic transcript is an official record of your enrolment and grades (withdrawn subjects are not shown).  Transcripts are used to show completed subjects and details of a completed degree.  Graduating students automatically receive a transcript upon graduation. 

Additional copies are available to purchase ($10.00 for digital - $30.00 for hardcopy plus postage) by completing the following form.

Testamur and AHEGS

Testamur

A Testamur is issued to students upon graduation, detailing the name of the qualification (and major where relevant). Testamurs are a unique, legal document with only one official copy available. 

If a Testamur is lost or damaged, you can apply to purchase a replacement ($10.00 for digital - $150.00 for hard copy) by using the following form. Payment surcharges may apply. 

Please note, if you are requesting a replacement Testamur due to a change of name, you will need to ensure your personal details are updated prior to requesting the replacement Testamur.  To do this, please follow the relevant instructions from the updating personal details webpage

AHEGS

An Australian Higher Education Statement (AHEGS) is only available to students who graduated after December 2010. AHEGS details UOW academic results, university prizes, and a description of the AHEGS system. 

Graduating students automatically receive a digital AHEGS after graduation.  AHEGS are not available to students before graduation

If you are a student who graduated from December 2010 and would like to request an additional AHEGS, you can apply to purchase an AHEGS ($10.00 for digital - $30.00 for hardcopy plus postage) by completing the following form. Payment surcharges may apply. 


UOWx Award / Record

A UOWx Award and/or Record is issued to graduating students (after conferral) who have successfully completed a co-curricular activity as part of the UOWx program.  If you would like to explore options for a digital copy of this documentation outside of this process, please contact the AskUOW team at askuow@uow.edu.au  

Completion

There are two types of completion letters:

  • Coursework completion letter
  • HDR completion letter

To order, log in to SOLS, select 'Student Forms' from the left hand menu and follow the prompts. Please note, before applying you will need to ensure your results have been released in SOLS. 


Course details

A course details letter lists your full name, degree, commencement date and the normal period expected to complete a degree. Confirmation that the course is delivered in English is also provided.

To order, simply log in to SOLS, select 'Student Forms' from the left hand menu and follow the prompts.


Course fees and living

This letter details your tuition fee and estimated living costs for a session or year.  To order, simply log in to SOLS, select 'Student Forms' from the left hand menu and follow the prompts.


Enrolment confirmation

An Enrolment Record Print is a free method of verifying your enrolment details with third parties. Enrolment confirmations are used by third parties for education verification processes. To provide an enrolment record to a third party:

  1. Log in to SOLS
  2. Select 'Print Enrolment Record' from the left-hand menu (you will need the latest version of ).

The record will list your student number and a unique access code which the third party will use to verify your record. The third party will not be able to access or view any other personal enrolment details.

Note: Ensure that your results are not withheld as the third party will not be able to verify your record.

Alternatively, you can order an enrolment status letter through . This letter will show your full name, name of course and your current enrolment status - e.g. part-time or full-time.


Higher Degree Research

Enrolment status : If you are a HDR domestic student and you wish to receive official confirmation proving your change of enrolment status you can request a HDR enrolment status letter. To apply, log in to , click 'Student Forms' from the left hand menu and follow the prompts.

Thesis under examination : If you are a HDR student and you would like UOW confirmation of your name, degree, thesis title, and examination progress you can apply for a HDR thesis under examination letter. 

To apply, log in to your SOLS, select 'Student Forms' from the left hand menu and follow the prompts.

Scholarship status: This letter is used if you are a HDR student and you would like UOW confirmation of your name, degree, thesis title and scholarship dates. To apply, log in to , click 'Student Forms' from the left hand menu and follow the prompts.


HECS Fee Help

If you are using HECS or FEE HELP you can print a statement that details figures deferred to HELP, paid up-front and any discounts received.  To print a HECS / Fee Help statement, log in to your SOLS and select 'CAN Statement' from the left hand menu (follow the prompts).

Note: If you are planning to study at another ÁñÁ«ÊÓƵapp (as a cross institutional student) you may need to provide a HELP status letter to use as proof of eligibility for HECS or FEE HELP to the other ÁñÁ«ÊÓƵapp. To request a HELP status letter please email the fees team at student-fees@uow.edu.au.


Jury duty

This letter can be used if you are called for jury duty and would like to request an exemption on study grounds.  You can order a Jury duty letter via SOLS, under the 'Student Forms' menu.


Remaining subjects

This letter is useful if you are in your final session/year of study, and require an official list of subjects that need to be completed to finish your degree. 


Study hours

This letter is used to show how many hours per week you are expected to spend studying for your degree.  To order, log in to SOLS, select 'Student Forms' from the left hand menu and follow the prompts.


Key dates

This letter can be used to provide employers confirmation of study recess or session break periods. You can print a Key Dates Letter from your SOLS account.  To do this: 

  1. Log into SOLS
  2. Select 'Student Forms' from the left hand menu
  3. Select 'Key Dates Letter' from the drop down menu
  4. Click 'Continue'
  5. Open the 'Key Dates Letter' for your study period; and 
  6. Either download or print. 

It is important to note that Key Dates Letters are not valid unless they are accompanied by an 'Enrolment Record Print'. 

Digital academic documentation

If you require a third party to sight a certified document, you can provide them with a digital version via My eQuals. To do this, simply share your My eQuals link with the third party via email. By using My eQuals, you do not have to seek the services of a Justice of the Peace (JP), or complete a statutory declaration.


Justice of the Peace (JP) certification and Statutory Declarations

JP Services are available the first Friday of every month at AskUOW, however you can also find a JP in your local community by searching the .

AskUOW can certify Statutory Declarations in-person on the first Friday of every month. Statutory Declaration forms are available via .


Department of Foreign Affairs and Trading (DFAT) Authentications

If you wish to use or have your UOW qualification recognised outside Australia, you may require the Department of Foreign Affairs and Trade (DFAT) to authenticate or apostille your Testamur, Academic Transcript or AHEGS (Australian Higher Education Graduation Statement).

For DFAT to authenticate or apostille your documentation, you may be required to obtain a verification stamp from an authorised person at UOW on each original hardcopy document. Digital academic documentation issued through My eQuals cannot be sent to DFAT for authentication or an apostille.

UOW can assist you with this process by arranging an authorised person to sign your documentation, however you must contact  directly for assistance with sending your documentation to be authenticated or apostilled.
